Set a client's operating rules

Give a client its own Client Overrides and handling instructions on Client 360, as a version that takes effect now or from a later date.

In short

On the client's Client 360, select Schedule a change under Operating rules. Set each rule to Follows the standard or Client Override, add any instructions and an Agreement note, choose when it takes effect, and select Record version.

Before you start

You need to be an Account Manager or an Admin. Others see Schedule a change greyed out; ask the client's Account Manager.

Agree the change with the client first, and note who agreed and how. The rules can't be changed on a Closed account.

How the rules work

Each warehouse has its own standard for each rule. A client follows those standards unless it has a Client Override for a rule. Receipt, packing and labelling instructions are the client's own and have no standard.

Each change is recorded as the next numbered version of the client's Client Operating Rules. A version is never edited, and work already under way keeps the rules it started with.

Steps

  1. Go to Clients and select the client, such as Hebden Botanicals Ltd.
  2. Under Operating rules, select Schedule a change. The form opens with the rules as they are now.
  3. In Effective from, keep now or choose a later date and time. A date in the past is refused.
  4. For each rule to change, select Client Override, then set the value in the Client Override field beside it. Standard now shows each warehouse's standard.
  5. To go back to a warehouse's standard for a rule, select Follows the standard.
  6. Under Client instructions, enter any Receipt instructions, Packing instructions or Labelling instructions, up to 2,000 characters each.
  7. Enter an Agreement note, such as "Agreed by email with Martha Shaw on 14 January."
  8. Select Record version.

For an on-or-off rule, such as the Single-Client Storage Rule, turn the Client Override switch on or off. Left alone, it is off.

If the date is in the past, Stockist says:

Operating rules cannot take effect in the past: choose now or a later date.

The rules you can override

Group Rules
Outbound Stock Rotation Policy, Same-Day Dispatch Cut-Off, Ship-By Rule, Partial Shipments, Dedicated Batching, QA Required, Capture Point, Red Tag Hold Period
Receiving and storage Quarantine on Receipt, Single-Client Storage Rule

Batch Size, Cart Size, Weight Check Tolerance and Idle Limit are the warehouse's alone, with no Client Override.

What happens next

The section shows In force now beside the scheduled version, such as "From 1 Feb 2026 00:00 · v3 · 1 change". It takes effect on its own at that moment, and Account health warns of it until then.

Each rule shows its Effective Operating Rule and where it comes from: Warehouse standard, Client Override or Client instruction, with its version. With more than one warehouse, choose one under At to see the rules there.

The client's history records the version, and the client's people can read their rules in plain words but can't change them. Hebden Botanicals uses FEFO, because every line it sends carries a best-before date.
