Move reserved stock between orders
- How-to
- Orders
- Who can do this: Admin, Warehouse Manager, Account Manager
- Checked on 28 October 2026
Give stock reserved for one unreleased order to another order of the same client, such as when the client asks for one order to go first.
In short
Open the order that has the stock and select Move reserved stock. Choose its line, the order to take the stock, how many units and why, then select Submit.
Before you start
You need to be an Account Manager, a Warehouse Manager or an Admin. Floor staff and Finance Managers don't see Move reserved stock: ask the client's Account Manager.
Stock reserved for one order is never taken by another on its own: see The first order keeps its stock. A Reservation Move is how a person does it on purpose.
Both orders must belong to the same client, go from the same warehouse, and be accepted but not yet released. The receiving order must be short of the product.
Steps
- Go to Orders and open the order that has the stock, such as Northern Thread's
ORD-00000016. - Select Move reserved stock.
- In From line, choose the line giving stock, such as Line 1 · NTC-TEE-SGE-M · 120 of 121 allocated.
- In To order, choose the order taking it. The list holds only the client's unreleased orders at this warehouse that are short of that product.
- Enter Units to move. It can't be more than the receiving line is short of, or more than the giving line has reserved.
- Enter the Reason, such as "Northern Thread asked for #NT-50262 to go first".
- To let the client read the reason too, turn on Show the reason to the client. You can't change this after the move.
- Select Submit. Stockist shows "Reserved stock moved".
If Stockist refuses, it says why:
ORD-00000017 is short of 2 on line 1, so it cannot take 3.
It also refuses an order that is released, cancelled or not yet accepted, and another client's or another warehouse's order. It refuses units that expire before the receiving order's Must-Ship-By too.
What happens next
The receiving order becomes Allocated, or Partially Allocated if it is still short. A Not enough stock hold on it clears once it is fully allocated.
The giving order goes back to Partially Allocated, or Awaiting Allocation if nothing is left on any line. It tops up by itself when stock arrives, earliest Must-Ship-By first.
Both Order Timelines record the move, with your name and reason for staff:
Priya Desai moved reserved stock to ORD-00000017: NTC-TEE-SGE-M 2 given, 118 of 121 still allocated. The rest waits for stock. Reason: Northern Thread asked for #NT-50262 to go first.
The client reads that your warehouse team moved the stock, and the reason only if you turned it on.
