Offboard and close a client account

Start offboarding when a client gives notice, so deliveries stop after its last trading date, then close the account once nothing is left on site.

In short

On the client's Client 360, select Start offboarding with the notice date, last trading date and a reason. When its stock, deliveries, purchase orders and orders have all gone, select Close account and give a reason.

Before you start

You need to be an Account Manager or an Admin. If you don't see Start offboarding, ask the client's Account Manager.

You can't delete a client: offboarding, then closing, is how a client account ends.

Agree the client's last trading date: the last day your warehouse takes deliveries in for it. Agree too how its remaining stock leaves: sent out on orders, collected, or disposed of on its written instruction.

Steps

Start offboarding

  1. Go to Clients and select the client.
  2. Under Lifecycle actions, select Start offboarding.
  3. Check the Notice date, the day the client gave notice. It starts as today.
  4. Choose the Last trading date. It can't be before the notice date.
  5. Enter a Reason, such as "Taking fulfilment in-house at its own unit." Select Submit.

Stockist shows "Offboarding started", and the status changes to Offboarding. A client still in Onboarding can be offboarded the same way, when it pulls out before go-live.

Close the account

Close account stays locked until nothing is left, and says what is: stock still on site, inbound shipments still expected or being received, open purchase orders and open orders, by number.

  1. Go to Clients and select the client. Check Close account shows no lock reasons.
  2. Select Close account.
  3. Enter a Reason, such as "All stock has gone and offboarding costs are paid."
  4. Select Submit. Stockist shows "Account closed", and the status changes to Closed.

What happens next

While offboarding, deliveries are refused after the last trading date, and orders carry on until the stock has gone. Tidy Paws gave notice in December, with one last top-up delivery booked in before its last trading date.

A client On Hold can start offboarding too, and stays on hold. Lifting that hold returns it to Offboarding, never Active. Lift any hold before you close the account.

Closing is for good. The client's people lose their sign-in, its pending invitations are cancelled, and its details, contacts, rules and people can no longer change. A Closed Account is never deleted: it stays under Clients with its history.
