Receive stock without a shipment
- How-to
- Inventory
- Who can do this: Admin, Warehouse Manager, Floor Supervisor, Warehouse Operative
- Checked on 27 October 2026
Put stock on the books straight into a location when it didn't come through the dock, such as stock found in the warehouse or brought in by hand.
In short
Go to Inventory › Inventory Items and select Receive Loose Inventory. Choose the Product and Location, enter a serial number or a quantity with its lot, and select Create.
Before you start
You need to be a Warehouse Operative, a Floor Supervisor, a Warehouse Manager or an Admin. If you don't see Receive Loose Inventory, ask a Warehouse Manager.
Deliveries from a client's supplier go through the dock as an inbound shipment, so they are checked against what was expected. Use this only for stock with no shipment, such as stock found in the warehouse.
The product must already be set up for the client. The stock goes in loose, into a location: you can pack it into a container afterwards.
Stockist doesn't check the client's account status here, or apply its Quarantine on Receipt rule. Stock received this way is Available at once. If the client is on hold, or its rules quarantine every delivery, ask the Account Manager first. Then change its status to Quarantined if needed.
Steps
-
Go to Inventory › Inventory Items and select Receive Loose Inventory.
-
Choose the Product, such as
BRC-ESP-1K. -
Choose the Location the stock is in, such as
COL-PF-P03B1. Only locations that are active and accept putaway are offered. -
For a product with serial numbers, enter one unit's Serial Number and leave Quantity at 1. A serial the product already has is refused:
Serial number [K1B25000105] is already recorded for product [KES-ONE-BLK].
-
For any other product, enter the Quantity. If the product has lots, enter the Lot / Batch Number and Expiry Date printed on it.
-
Add Notes saying where the stock came from.
-
Select Create. Stockist confirms it:
Loose inventory received
Stockist checks the location has room for the stock and allows it, as for any putaway. If it refuses, nothing is received: see Stock or a container won't go into this location. Create & create another keeps the form open for the next line.
What happens next
The stock shows in Inventory › Inventory Items as a new line at that location, with today as its Received Day. Each receipt is a line of its own, even of a lot already in stock. Orders can reserve it straight away.
Stockist doesn't stop you leaving out a serial number or a lot, so check them before you select Create. A serial number keyed wrongly can be corrected.
