Set up the Warehouse Calendar and Collection Timetable

  • Checked on 28 October 2026

Set the days and hours a warehouse works, its bank holidays and closed dates, and when each carrier collects and stops taking orders.

In short

Go to Warehouses › Warehouses and, in the warehouse's row, select Actions, then Calendar and collections. Set the working week, mark single dates, and under Collections set each carrier's collection times and Latest Same-Day Acceptance.

Before you start

You need to be a Warehouse Manager or an Admin. Everyone else on your staff can read the page but sees none of its buttons. Clients never see it.

Have to hand the days and hours the warehouse works, and each carrier's collection time for each weekday. Every time is the warehouse's own clock, the same in GMT and BST.

Decide first

Orders count their Must-Ship-By only on days the warehouse works and its carrier collects. Until a carrier has a Collection Timetable here, its services have no Ship Days at the warehouse. No order going by them can be accepted. Set the timetable before the first client's orders arrive.

Steps

Open the calendar

  1. Go to Warehouses › Warehouses.
  2. In the warehouse's row, select Actions, then Calendar and collections. The page shows the working week, the next two weeks with their collections, marked dates and each Collection Timetable.

Set the working week

Until you change it, a warehouse works Monday to Friday, 08:00 to 17:30, with the bank holidays of England and Wales.

  1. Select Change working week.
  2. Under Bank holidays of, choose the warehouse's nation. An Isle of Man warehouse marks its own bank holidays as closed dates.
  3. Under Working week, give each working Day with its Opens and Closes times, such as 07:00 and 18:00. Select Add to working week for another day.
  4. Select Submit.

Bank holidays load from gov.uk every Monday morning.

Close or open a single date

  1. Select Mark a date and choose the Date.
  2. Leave Working off to close a working day, such as for a stocktake. Turn it on to open a closed day, such as a peak Saturday, and enter its Opens and Closes times.
  3. Optionally, enter a Note, such as "Annual stocktake: no picking or collections."
  4. Select Submit.

A marked date wins over the working week and the bank holidays. To undo one, select Clear beside it under Marked dates. A date already past can't be marked.

Set a carrier's collections

  1. Select Collections, then Set collection timetable.
  2. Under Timetable for, choose the carrier, or a Carrier Service collected separately, such as Special Delivery.
  3. For each weekday it collects, give the Day and the Collection time. Give the Latest Same-Day Acceptance too: the last time an order can still go that day. Select Add to weekly collections for another day.
  4. Optionally, choose the Goods-out spot where the collection's cage stands.
  5. Select Submit.

A weekday has one collection, and the Latest Same-Day Acceptance must be earlier than it:

The Latest Same-Day Acceptance ([time]) must be earlier than the collection ([time]), so the floor has time to pick and pack.

A Carrier Service collected separately with no timetable of its own goes with its carrier's.

Add or miss one collection

  1. Select Collections, then Add extra collection or Mark collection missing.
  2. Choose the Collection Timetable and the Date. For an extra one, give its Collection time and Latest Same-Day Acceptance.
  3. Optionally, enter a Note, then select Submit.

Collections run only on working days. To take a change off, select Remove beside it under its timetable.

What happens next

The next two weeks show each day's hours, or why it is closed, and its collections. Colwick works 07:00 to 18:00, Monday to Friday. Royal Mail collects at 17:30 and accepts until 15:00. Special Delivery's own van comes at 12:30, accepting until 10:30.

Every change goes in the Calendar history, with who made it and when. Orders accepted from then on count their Must-Ship-By on the changed calendar.

Orders already accepted keep their Must-Ship-By. Any left on a collection that no longer runs are listed under Orders off the timetable: see Move orders off the timetable.
