Open a Client Account with its code and name, then fill in the company details, numbers and address its go-live checklist asks for.

In short

Go to Clients, select New Client, enter a code and name, and select Create. The client starts in Onboarding; open it and select Edit Client to add its contract reference, company numbers and invoice address.

Before you start

You need to be an Account Manager or an Admin. If you don't see New Client, ask an Admin.

Have the client's company registration number, VAT number and invoice address to hand. Choose a short code for it of up to 10 characters, such as LUM for Lumen & Loom. Stockist doesn't stop two clients sharing a code, so check the Clients list first.

Steps

Add the client

  1. Go to Clients and select New Client.
  2. Enter the Code and the Name, such as LUM and Lumen & Loom Homeware Ltd. These are the only fields you must fill in now.
  3. Under Account Management, choose the client's Account Manager. Only people with the Account Manager role are offered.
  4. Select Create. Stockist shows "Client created successfully", and the client appears under Clients as Onboarding.

Complete its company details

The go-live checklist's first item, Company details complete, ticks itself once these are all recorded.

  1. Go to Clients and select the client's name. Its Client 360 opens.
  2. Under General Details, select Edit Client.
  3. Enter the Contract Reference and, if the contract has one, the Contract End Date.
  4. Under Company Registration Numbers, enter the Company Reg Number and VAT Number. Add the EORI, NI EORI, UKIMS and IOSS numbers if the client trades across borders.
  5. Under Invoice Address, enter the Company Name, Address Line 1, City, Postal Code and Country.
  6. Fill in Street Address only if the client trades from a different address. It is optional.
  7. Select Save changes. Stockist shows "Saved".

What happens next

A new Client Account is Onboarding, with operating rules that follow every warehouse standard. Purchase orders can be raised for it, but deliveries are refused and nothing is dispatched until it goes live.

The client's history starts with "Account opened in Onboarding". Next, record its contacts and work through its go-live checklist: see Bring a client live, or allow early receipt.

A client is never deleted once it has any history. If it never goes live, offboard and close it instead: see Offboard and close a client account.
