Send your 3PL an order

  • Checked on 28 October 2026

Send your 3PL one order on the order form, read the warnings as you type, and see whether it was taken in, held or refused.

In short

Go to Orders, select Enter an order, fill in the order and select Send order. Warnings show under the form as you type, and never stop you sending.

Before you start

You need to be a Client User or a Client Account Administrator. A Client Viewer sees your orders but doesn't see Enter an order: ask your Client Account Administrator to change your role.

Have your own reference for the order, and the recipient's name, email, phone and address. For each product, have its SKU and the quantity. To send many orders at once, upload them instead.

Steps

  1. Go to Orders and select Enter an order.

  2. In Client Order Reference, enter your own reference for the order, such as your shop's number HB-W-10260. Your 3PL lists your orders by this Client Order Reference.

  3. Leave Service Level to use your account's Default Service Level, or choose another Service Level, such as Next Day.

  4. Under Delivery, enter the Recipient name, Email, Phone and address, such as Fiona Grant at EH1 1YZ. The carrier may need the email or phone, so give both.

  5. Leave Country as GB, or enter IM for the Isle of Man.

  6. Under Lines, enter the SKU in Product code and the Quantity for the first line, such as HB-OAT-SOAP-100 and 2. Select Add a line for each further product.

  7. Read the box under the form, if there is one, and fix what you can. Then select Send order.

The order form's lines, with a warning that the order will be taken in and held for its postcode, above Send order.

Warnings under the form

The box lists every problem found so far. A problem you can fix later, such as an unknown SKU or a postcode that isn't a UK one, says the order will be taken in and held:

This order will be taken in and held until these are fixed.

A problem that no later fix can mend says the order will be refused, with each reason:

This order will be refused if sent as it is.

Orders go only to Great Britain, Northern Ireland and the Isle of Man. A quantity must be a whole number above zero, and every order needs your reference.

A reference you used before

If you used the reference on an earlier order, the box says the order is a Duplicate Order and names the earlier one. This stops the same order going out twice.

  • If you are sending the same order again, don't send it.
  • If it really is a new order, tick This is a new order: the reference is used again on purpose. Its Order Timeline records that you confirmed it.

What happens next

You see "Order ORD-00000016 received", and the order's page opens. An order with nothing to fix is accepted at once: it shows when it ships by, and stock is set aside for it.

A held order also says what holds it:

It is held until these are fixed: Address problem.

It waits at Received until each hold is fixed. See Why your order is held.

A refused order shows "Order refused" with every reason, and nothing is created. Correct the form and select Send order again.

To check on the order later, see Follow an order and read its timeline.
